Medical Affairs Operations Manager (Contract)
Location: King of Prussia, PA
Work Arrangement: Hybrid (3 days onsite per week, flexible onsite days)
We are partnering with a leading biopharmaceutical organization seeking an experienced Medical Affairs Operations Manager to support global Medical Affairs activities within a complex, matrixed environment. This role plays a critical part in driving operational excellence across annual planning, launch readiness, budgeting, and delivery of key Medical Affairs milestones.
This is a highly visible role, partnering closely with Disease Area and Regional Medical teams to ensure governance, planning, and execution are delivered on time, in scope, and to a high quality standard.
Key Responsibilities
- Lead and coordinate Medical Affairs Strategy Team (MAST) forums for assigned disease areas, including governance, membership, cadence, and documented outcomes
- Establish clear governance frameworks, RACIs, and escalation pathways across Medical, Clinical, Publications, HEOR, Commercial, and Regional teams
- Own and manage the Medical Affairs business process calendar to ensure timely delivery of insights, evidence generation plans, publication plans, and medical strategy documents
- Implement and maintain standardized global templates for annual planning, launch readiness, and budgeting with strong version control
- Partner with Finance and Disease Area leads to plan, track, reconcile, and report on Medical Affairs budgets
- Develop and manage milestone plans and Gantt schedules, monitoring risks and critical paths
- Support Grants and Investigator Initiated Studies operations, including intake coordination, governance cadence, and milestone tracking
- Ensure compliance with internal SOPs and external standards, maintaining audit ready documentation
- Build dashboards and executive updates to support senior Medical leadership decision making
Required Qualifications
- Bachelor’s degree required; advanced degree or PMP certification preferred
- 10 or more years of experience in Medical Affairs operations, clinical program management, or related pharma or biotech roles
- Proven ability to lead cross functional initiatives without direct authority
- Strong experience with Smartsheet, MS Project, Gantt planning, budget tracking, and executive reporting
- Excellent written and verbal communication skills, with senior leadership exposure
